3.Use of this Internal Staff / Contractors / Supplier information / data collected
3.1 – We will use this information / data in order to:
3.1.1 – Staff - correctly skill grade you and tailor training and progression for you
3.1.2 – Contractors -  correctly skill grade you
3.1.3 – Staff / Contractors - verify your identity;
3.1.4 – Staff / Contractors - correctly pay you and make all NI and HMRC payments as required
3.1.5 – Staff / Contractors – e-mail or write to you with any important work related information, policies or images / concerns / memos / notices.
3.1.6 –Staff / Contractors Be able to contact next of kin in case of emergencies
3.1.7 – Suppliers - process any Purchase orders or RFQ’s

4. Storage and protection of information / data / breach actions
4.1 External personal data will be stored using our 123MRP/ERP software and written to a secure and backed up SQL digital database located on our servers. The backed up data will also be locked in a secured location for access only by authorised employees.
4.1.1 We also print and file Quotations / Sales acknowledgements / Pro forma Invoices and Invoices, Delivery notes and Carrier shipping notes for accounting purposes and traceability / warranty compliance and store these for upto 7 years before shredding / disposal.

4.1.2 Staff data stored on 123MRP/ERP software as (4.1) and additionally hardcopy employee forms, absence data and Bradford factor scores, training records in a locked filing cabinet and employee performance reviews in a locked safe.

4.1.3 Contractors data stored on 123MRP/ERP software as (4.1) as needed to ensure jobs can be allocated to correctly skilled staff ,and contractors hours can be logged and correctly paid to agencies.

4.1.4 Suppliers data stored on 123MRP/ERP software as (4.1) as needed to ensure goods/services can be purchased and quotes obtained as needed.
4.2 All information / data fields we keep is saved in this spreadsheet E:\legal\GDPR and Privacy\GDPR spreadsheet Reverie_iss1.xlsx.

4.3 We will take protective measures to ensure your confidentiality and integrity of information and data collected and held by us.

4.4 In the extremely unlikely event of a beach of this Policy or loss of data, staff must report this internally to Simon Farren our DPO and we will take immediate steps to notify the persons affected and advise them full details of the incident, what data was disclosed and if known to which individuals or organisations and likely effects/outcomes.
The DPO will then also review our Policy to try and limit any possible reoccurrence.

5. Sharing this information / data
5.1 – We will not disclose your personal information outside of Reverie Limited, without your express permission. Your information will be used internally as required by personal to provide goods or services to you.
5.2 – We may transfer your personal information to a third party as part of a sale of some or all of our business and assets to any third party or as part of any business restructuring or reorganisation, but we will take steps with the aim of ensuring that your privacy rights continue to be protected.
5.3 – If we are under a duty to disclose or share your personal data in order to comply with any legal obligation (for example, if required to do so by law, a court order or for the purposes of prevention of fraud or other crime) or in order to enforce other agreements; or to protect the rights, property, or safety of our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.
5.4 – Other than as set out above, we will not disclose any of your personal information without your permission.

6.Information / data automatically collected from your computer
6.1 – Log files/IP addresses: When you visit the Web-Site our web server automatically records your IP address. This IP address is not linked to any of your personal information.
